Privacy Policy
This policy explains how Hearthly handles information when you use this home improvement website, send a form, subscribe to studio notes, or talk with us about work in a home. We wrote it in plain language because a remodel already asks you to trust people in your house. The way we handle your details should be just as clear as the way we handle a floor.
Last updated: 28 September 2026. “Hearthly,” “we,” and “the studio” mean the home improvement studio that publishes this site. We do not publish a telephone number or a street address. If you need to reach us about privacy, use the contact form and put “Privacy” in the subject line.
1. Who this policy is for
It applies to visitors of these pages, people who ask about a kitchen, bath, or other improvement, people who subscribe or unsubscribe, people who leave a testimonial note, and people who write because they want to work with the studio. It also applies to the limited information we learn when we visit a home for a walkthrough that began on this site.
It does not apply to other websites you open with the share buttons. Those services receive the address of the page you chose to share, under their own rules, and only because you asked your browser to open them.
2. The information you give us
The forms ask only for what a home improvement conversation needs:
- Your name, so we know who to reply to.
- Your email address, so we can write back. We do not ask for a telephone number.
- The room or topic, such as a kitchen, a bath, a whole-home sequence, a subscription subject, or an interest in joining the studio.
- A message describing the work, the frustration, or the reason you are leaving the letter list.
- A confirmation checkbox so we know the note was sent deliberately.
Please do not send payment card numbers, government identity numbers, or health information through the forms. We do not need them to plan a room. If a photograph of your home would help, you may describe it first; we will ask for images only when they are useful, and you choose whether to send them.
If you subscribe, we keep the name, email, and topic you chose so we know which notes are relevant. If you unsubscribe, we keep a minimal record of the request so we do not add that email back by mistake.
3. Information that arrives because you use the site
Like most websites, the server that hosts these pages may briefly record technical details such as the browser type, a coarse region derived from a connection, and the page requested. We use that only to keep the site available and to understand which stories are being read, in aggregate. We do not ask you to create an account. We do not run a shopping cart. We do not build advertising profiles of visitors.
The pages load typefaces and icons from their providers so the design can appear as intended. Those providers may see that your browser requested the file. That is a function of how the public web serves shared files. We do not send them your project message.
The forms on this version of the site check your entries in the browser and then show a confirmation. They are not a back-office database. Even so, this policy describes how we treat information when a message does reach the studio, because that is the point of the forms and the standard we hold ourselves to.
4. How we use information
We use what you send for the reason you sent it:
- To reply to a question about home improvement.
- To decide whether a walkthrough is a fit and to prepare for it.
- To prepare drawings, scopes, allowances, and schedules if you ask us to proceed.
- To send the studio notes you subscribed to, and to honor an unsubscribe request.
- To consider an enquiry about working with the studio.
- To look into a concern you raise about a project or about this policy.
- To keep a record of what was agreed, so the scope and the room stay the same story.
We do not sell personal information. We do not rent lists. We do not use your project details to advertise other people’s products. If we ever wanted to send notes to someone who had only asked about a single project and had not subscribed, we would ask first. Project messages that are part of the work you requested are not optional marketing; they are how the remodel stays coordinated.
5. Walkthroughs and the home itself
A walkthrough teaches us about a building: measurements, the condition of finishes, how you move through a kitchen, and constraints you choose to mention. Those observations are project information. They are used to design and, if you proceed, to build. They are not published. Photographs of a finished room are covered by the Terms & Services and are taken only with agreement. We do not photograph personal papers, screens, or family pictures on purpose, and we ask you to put those away before a camera comes out for a project record.
Makers on the project see the drawings and the details they need to do their part. They do not need your whole correspondence. We share the minimum that lets the work be done properly: a plan, a finish note, a relevant message about access or a hazard.
6. Who we share information with
We share personal information only in these situations:
- With the project lead and the makers who must see it to carry out the agreed work.
- With a specialist we bring in for your project, such as a particular trade, and only for that purpose. We tell you when an outside specialist will be involved.
- With a provider who hosts email or documents for the studio, under a duty to use the information only for that hosting.
- If the law requires a disclosure, or if we must protect a person from serious harm.
- If the studio’s work is transferred to a successor who continues the same home improvement practice, and the successor agrees to honor this policy for existing projects.
We do not share your details with data brokers. A testimonial is published only in the form you agreed, which may be a first name and an initial, the type of room, and the words you approved.
7. How long we keep it
Enquiry messages that do not become a project are kept only as long as needed to reply and to keep a short record of what was asked, then deleted or reduced to a non-identifying note. Project records, including the scope, changes, and the final walk, are kept long enough to answer a later question about the workmanship and the finishes, because a kitchen or a bath can need a care question years after the dust sheets leave.
Subscription details are kept while you remain on the list. After you unsubscribe, we keep the fact of the opt-out so we do not write to you again by accident, and we delete the rest of the subscription profile. Application notes from people who want to join the studio are kept only for the hiring conversation, unless you become part of the team, in which case ordinary employment records apply and are explained separately.
8. Security
We limit who inside the studio can read project correspondence. We do not ask you to send passwords. The confirmation you see after a form is checked is produced in your own browser; treat a shared computer accordingly and close the page if someone else will use it. No method of sending a message is perfect. Please do not include secrets the studio does not need. If we ever believe a project record has been exposed in a way that could affect you, we will tell you through the email you gave us, describe what happened in plain language, and say what we are doing about it.
9. Children
This website is for adults planning home improvement or asking about work. We do not knowingly collect information from children. If you believe a child has sent a form, contact us with “Privacy” in the subject and we will delete the message.
10. Your choices
You may ask us what project information we hold about you, ask for a correction if a room note is wrong, or ask us to delete an enquiry that did not become a project. Some records of agreed work must be kept for the reasons in the retention section, especially where they show what was built. We will explain if we cannot delete a particular document and why.
You may unsubscribe from studio notes at any time on the unsubscribe page. You may also ask us not to use a finished-room photograph. Those choices do not affect the quality of work already agreed. To make a privacy request, use the contact form, use the subject “Privacy,” and tell us the email address you used before so we can find the right note. We may ask you to confirm that the request comes from that same person, so we do not edit or delete the wrong household’s file.
11. Marketing and the difference from project mail
Studio notes are optional. Project mail is not marketing: it includes proposals, questions about a tile, change notes, and the final list. If you are in the middle of a remodel, unsubscribing from notes will not stop those project messages, because the house still needs them. When the project is closed, project mail stops except for a care question you raise yourself.
12. Cookies and similar tools
The pages you are reading do not set advertising cookies and do not use a tracking pixel to follow you around other sites. If a future version of the site needs a cookie to remember a preference you asked for, we will describe it here before we rely on it, and we will not use it to sell advertising. Your browser can also refuse third-party files; if you do, the typefaces may look simpler and the pages will still be readable.
13. Links and sharing
Share buttons open Facebook, X, LinkedIn, or Pinterest in a new window with the address of the current page. We do not receive a copy of what you then type on those services. Do not share a project page in a way that exposes someone else’s home if we have not already published that photograph. Client stories on the testimonial page use shortened names for that reason.
14. International readers
The studio publishes this website for people planning home improvement. Messages may be read by the project team wherever they are working that day. We do not claim that a particular national regulator is your only route. If the law where you live gives you additional privacy rights, you may exercise them by writing through the contact form, and we will not ignore a right that applies simply because this page is general.
15. Changes to this policy
If we change how we handle information, we will update this page and the date at the top. A change that would use existing project details for a new purpose will not be applied quietly. We will ask where the law or simple fairness requires a fresh choice. Continuing to browse after a editorial clarification of this policy is fine. A new use of your email for notes always requires the subscribe form or another clear request from you.
16. How to contact us about privacy
Use the contact form on this website. Put “Privacy” in the subject. Include the email address you used with us and a short description of the request: a copy, a correction, a deletion, a photograph concern, or a subscription question. You do not need to state a street address or a telephone number. We will reply to the email you provide. If the request is about an active remodel, copy the project lead in the message body by naming them if you know them, so the note is not separated from the room it concerns.
We would rather answer a careful question than have you wonder what happened to a plan of your kitchen. Ask. The form is the door, and this policy is the promise about what we do with what you send through it.
